Information is a critical component in an organization that requires special handling. Various measures are taken to secure it as needed and to make it available where and when it is required. A solid strategy is required to guide operations in complex systems like those in a government document management workflow.

Security of critical information is required to provide safeguards against losses or other undesired results. Using appropriate technology, access can be regulated and provided only to a limited number of people. That way, weaknesses are reduced and the risk of leakage and other problems is almost eliminated. Monitoring is also important to keep everything working as expected.

Although maintaining tight security is necessary, it should not block the smooth flow of data. Convenience is important for an organization to operate as expected. Creating proper access mechanisms promotes efficiency which in turn raises productivity. Each process in the organization has to flow as expected without any hindrance from other stages for efficiency to be realized.

Technology is effective when used to store information in a cost-effective way because it requires only a small space to make it possible. Physical documents require a lot of manpower and other resources such as boxes, cabinets, racks, among others to store and process. It takes more people to manage many documents than it would take to handle digital information.

A properly designed information flow helps in reducing costs and time used in day to day operations. Physical documents make it harder to search and find the information being sought. Digital storage systems helps in cutting down the work and time required to sort and retrieve information when necessary. Making copies of the data is also simplified.

When disaster strikes and the existing systems are ruined, normal operations are unlikely to continue right away. Physical documents are particularly prone to loss or damage due to man-made or natural causes. Data stored in a digital system can be backed up and a copy stored elsewhere for recovery in case of losses. It does not take long to restore it to how it was before the problem.

A reliable data management system is a critical process in many organizations. Different operations rely on its ability to provide the required data at every stage and at the right time. When stored digitally rather than in paper form, operations are simplified and processing times are less than physical documents would require. It saves time and other resources to implement and operate.
